01Who We Are

Rev and Render Studios ("we", "us", "our") is a South African photography and videography business operating this website at revandrender.co.za.

Under POPIA we are the responsible party for the personal information described in this policy. That means we decide what information is collected and what it is used for, and we are accountable for how it is handled.

02What We Collect

Information you give us directly

When you complete a quote or enquiry form on this website, we collect:

• Your name
• Your email address
• Your phone number
• The service you are enquiring about, and your preferred shoot date
• Any details you choose to include in the message field
• Your company or agency name — on the real estate enquiry form only, and only if you choose to provide it

We also receive personal information when you contact us directly by WhatsApp, phone, or email, or when you book a session through our online booking calendar.

Information collected automatically

We do not run analytics software, advertising pixels, or visitor-tracking tools on this website. Our web host keeps standard server logs (including IP addresses) for security and diagnostic purposes, as virtually all web hosts do.

Information collected during a shoot

When you book us, we collect the photographs and video footage produced during your session, along with the location and scheduling details needed to deliver the work. Images of identifiable people are personal information under POPIA, and we treat them accordingly — see section 4.

03Why We Collect It

We use your personal information only for the purposes it was given to us:

• To respond to your enquiry — sending you a quote, answering questions, and discussing your requirements
• To deliver the service you booked — scheduling, planning, shooting, editing, and delivering your photographs or video
• To administer the booking — invoicing, payment records, and keeping to our legal and tax obligations
• To stay in contact about your specific job — confirmations, reminders, and delivery notifications

We do not sell your personal information. We do not add you to a marketing list, and we do not send bulk or automated marketing messages without your separate, explicit consent.

04Photographs & Video

Photographs and video of identifiable people are personal information. We take this seriously, and the rules below apply to every shoot.

How consent works

• Consent to use your images for marketing is requested separately from the booking itself, and is entirely optional — declining does not affect your booking, your pricing, or the work you receive
• Consent can be limited (for example, website portfolio only, no social media) — just tell us what you are comfortable with
• You can withdraw consent at any time. Email us and we will remove the images from this website and from any social media account we control, usually within seven working days
• Where we photograph an event with multiple attendees, we ask the event organiser to make attendees aware that photography is taking place. Any attendee who does not want their image published may contact us and we will remove it

Withdrawing consent does not oblige us to recall material already printed, published by a third party, or shared onward by others — but we will always remove what remains under our control.

05Who We Share It With

We share personal information only where it is necessary to run this website and deliver our service. The parties below act as operators on our behalf:

• Web3Forms — processes submissions from the enquiry forms on this website and delivers them to our inbox. Form data passes through their servers
• Google — our booking calendar is a Google Calendar Appointment Schedule, and our business email is hosted by Google. Details you enter when booking are processed by Google
• Google Fonts and Cloudflare (cdnjs) — supply the typefaces and the date-picker used on this site. When a page loads, your browser requests those files, which means your IP address is visible to those services. They do not set cookies on our behalf
• Our web host — stores the website files and keeps standard server logs

Some of these providers process data on servers outside South Africa. POPIA permits this where the recipient is subject to comparable data protection standards or is bound by contractual terms to that effect, which is the case here.

Beyond this, we disclose personal information only where the law requires it, or where you have asked us to.

06Cookies & Tracking

The site does install a small service worker in your browser, which caches page files locally so pages load faster on repeat visits. It stores website assets only — no personal information, and nothing that identifies you. You can clear it at any time through your browser settings.

As noted in section 5, loading fonts and the date-picker from third-party networks means those services can see your IP address. This is standard for websites using external resources and is not used by us to identify or track you.

07How Long We Keep It

• Enquiries that do not become bookings — kept for up to 12 months, then deleted
• Client and booking records — kept for five years after the last transaction, as required by South African tax and financial record-keeping law
• Photographs and video — original files are archived so we can re-supply your images if you lose them. If you would prefer we delete your files after delivery, tell us and we will
• Images published with your consent — kept for as long as that consent stands, and removed when it is withdrawn

08How We Protect It

We take reasonable technical and organisational steps to safeguard personal information against loss, unauthorised access, and misuse. This includes serving the entire website over an encrypted HTTPS connection, restricting access to client files and enquiry records to the two of us, and using password-protected accounts and devices.

No system is completely secure. If a breach occurs that creates a real risk of harm to you, we will notify you and the Information Regulator as POPIA requires.

09Your Rights

POPIA gives you the following rights over your personal information. Exercising any of them is free, and we will respond within a reasonable period.

• To be told what personal information we hold about you
• To access that information and receive a copy of it
• To correct information that is inaccurate, misleading, or out of date
• To have information deleted where we no longer have a lawful reason to keep it
• To object to us processing your information, on reasonable grounds
• To withdraw consent you previously gave — including consent to publish your photographs
• To complain to the Information Regulator (see section 10)

To exercise any of these rights, email revstudios12@gmail.com. We may ask you to confirm your identity before we act, so that we are not disclosing someone else's information to the wrong person.

10Complaints

If you believe we have mishandled your personal information, please contact us first — most issues are quickest to resolve directly. If you are not satisfied with our response, you have the right to lodge a complaint with the Information Regulator:

11Children

We do not knowingly collect personal information from anyone under 18 through this website. Where a shoot involves a child, we deal with and take instruction from a parent or legal guardian, and we will not publish images of a child without that parent or guardian's explicit consent.

12Changes to This Policy

We may update this policy as our services or legal obligations change. The current version always appears on this page, with the date it was last revised shown at the top. Material changes affecting how we use information you have already given us will be communicated to you directly.
